Job Description
The Business Development Coordinator is the first point of contact for prospective clients and referral partners. This role centers on intake calls, scheduling, trip planning, and coordinating business development events. The ideal candidate enjoys working with people, excels in organization and multi-tasking, and thrives in creating positive first impressions that align with the company’s mission of being the regional leader in personalized trust and estate management services.
Primary Responsibilities
- Serve as the initial contact for prospective clients and referral partners, providing timely responses by phone, email, and in person.
- Conduct incoming Business Development intake calls to understand client needs and guide them through next steps in the process.
- Schedule and coordinate client appointments, meetings, and follow-ups.
- Greet and prepare for clients in-person appointments.
- Manage Business Development team member calendars related to BD meetings while coordinating with other departments for appropriate scheduling.
- Draft, edit, and proofread professional correspondence, including letters, memos, and emails.
- Assist in planning and organizing business development trips, including scheduling, logistics, and materials preparation.
- Support event coordination for business development including referral-focused meetings, seminars, and presentations.
- Maintain and distribute marketing materials to ensure availability for trips and events.
- Collaborate with the Business Development Manager & Strategic Growth Officer to ensure seamless communication and planning.
Secondary Responsibilities
- Scan, save, and file client documents and reviewing client files to ensure naming and structuring is in line with our processes & procedures.
- Provide back up to the Office Associate team for call handling when needed.
- Provide general office support as needed to ensure efficient client-facing operations
- Assist with special projects and other administrative duties as needed.

Required
- At least two years’ client service experience in a professional setting.
- Strong client service skills, with the ability to relate well to people over the phone and in person.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel).
- Excellent organizational and multitasking skills with attention to detail.
- Strong verbal and written communication skills.
- Ability to balance multiple priorities in a fast-paced environment.
Preferred
- Associate’s degree
- Knowledge of trusts and estates
- Experience with Salesforce CRM or similar systems preferred.
Location
- On-site position: Monday through Friday, in our Spokane, Washington, office (111 West Cataldo).
